How Do You Set Up an AI Agent for Your Business in 30 Minutes?

Ruben

To set up an AI agent for your business in about 30 minutes, start by adding your company information and industry, then connect the tools it will work with: your video and landing page platform, email, calendar and CRM. Brand it, invite your team, and run a few first tasks such as finding leads, building a prospect landing page and sending a video email. Refine it as you use it.

Everyone in sales now needs an assistant that does real work: checks and sends email, finds hot leads in the CRM, builds a landing page with a prospect's name on it, writes video scripts for YouTube, Instagram, Facebook, X and LinkedIn, and sends video emails that get replies.

The trouble is how people go about building one. I meet people who have spent six or twelve months iterating on their AI assistant, with a credit card on dozens of platforms, turning themselves into technology developers when they are actually in sales or running a business. That is backwards. You want results, not a technology project. This is how to get an agent working in under 30 minutes.

What Does Setting Up an AI Agent Involve?

Setting up an AI agent is the process of giving an AI system the context and connections it needs to act on your behalf: information about your business, access to the tools where your work lives, such as email, calendar and CRM, and permission rules for who can use it. Once connected, the agent can carry out multi-step tasks instead of only answering questions.

In Dubb Agent, the setup is guided. A guide panel on the right of your account walks you through each step, and it is being tailored to your industry, so the suggestions get more specific once you tell it what business you are in.

The 30-Minute Setup Checklist

Here is the whole setup at a glance. Most of it is a click or two; the first tasks are where you start seeing results.

Step Where What it unlocks
1. Company info and industry Three-dot menu, then Settings Answers, scripts and leads specific to your business, and an industry-tailored guide.
2. Connect Dubb Studio The guide, one click Videos, landing pages, websites, forms, scripts, CRM and contacts.
3. Email and calendar Integrations Reading and sending email, video emails, booking meetings.
4. CRM and other tools Integrations, or Custom for anything not listed Finding hot leads and acting on your existing data.
5. Branding Three-dot menu, then custom branding Your logo, AI name, colors and header.
6. Team members Three-dot menu, then Settings Colleagues collaborating in the same account.
7. First tasks The guide Leads, a prospect landing page, a video email, a social post.

Step 1: Add Your Company Information and Industry

Do this first, because everything else depends on it. Open the three-dot menu, go to Settings, and fill in your company information: what you sell, who you sell to, where you work, how you like to sound. Set your industry here too, or on the first signup page.

This is what powers the agent to be specific to you. Without it, you get generic scripts and generic lead ideas. With it, a real estate agent gets help finding FSBOs and expired listings, and a B2B or SaaS seller gets questions about their ideal customer. It is also what tailors the setup guide to your industry. You can keep adding to it as your business evolves.

Step 2: Connect Dubb Studio

Dubb Studio is the video and page side of Dubb. Connecting it to Dubb Agent is one click from the guide, and it gives the agent everything in Studio: assets, assistants, calls to action, presets, scripts, showcases, templates, forms, landing pages, campaigns, CRM and contacts.

That is what lets the agent build things for you, not just write about them. We have used it to build a custom video for a client, a landing page with a prospect's name on it, and an entire website for a real estate client, including pages for specific property addresses. You do not need a separate site builder or hosting service for landing pages. Our guide to building a website with an AI agent covers the full-site version.

Step 3: Connect Email and Calendar

Email. Connect Gmail or Outlook so the agent can read, draft and send. With email and Studio connected, it can compose a video email from a recording made on mobile, desktop or the Chrome extension, including an animated preview in the body of the email.

Calendar. Connect Google Calendar, Outlook Calendar, Calendly or Acuity Scheduling, so the agent can book time on your calendar.

When you connect each one, read the permission screen. It tells you what the agent will be able to do with that account. Our post on AI email automation covers how an agent should handle your inbox and what should never send without you.

Step 4: Connect Your CRM and Other Tools

Dubb Agent connects to more than 3,000 apps. Search Integrations for your CRM and connect it. If yours is not in the list, open Integrations, choose Custom, then Add new integration. That opens a chat. Tell it what you want to connect and the system builds a custom integration for you. It is a bit like rubbing a lamp: say what you wish to connect, and it gets connected.

The same goes for the rest of your stack. Customers use integrations for social media management with Buffer, AI avatars with HeyGen, voice with ElevenLabs, print mail campaigns, merchandise, YouTube and social captions, and task management such as Asana. Our post on consistent social media content walks through the Buffer setup.

One principle worth holding to: connect what you will use this month, not everything you might use one day. Every connection is access you are granting, so add them as you need them.

Step 5: Brand It

Open the three-dot menu and choose custom branding. Add your logo, give the AI a name, set your brand color and customize the header. Have some fun with the header; a bit of humor is always appreciated. Then make sure you turn on the branding switch, because that is what applies it.

If you plan to offer the agent to your own clients under your brand, our guide to building a white label AI agent covers branding in depth.

Step 6: Add Your Team

Three-dot menu, Settings, then add team members. It takes a moment, and there is no additional cost to add team members to your agent account, so there is little reason not to let colleagues collaborate. Dubb Studio plans are priced per user, so check your plan if teammates also need their own Studio seats.

Step 7: Run Your First Five Tasks

The guide suggests where to start. These five show you the most, fastest:

  1. Generate client leads. Click it and the agent asks questions specific to your business: B2B leads, real estate, SaaS. For real estate, that can mean FSBOs and expired listings.
  2. Create a landing page for one prospect. Their name on it, your offer, a video from your library. Imagine sending every prospect a page like that.
  3. Compose a video email. Record a short video and let the agent build and send the email around it.
  4. Post to social. Take a portrait or landscape video and publish it to Instagram, YouTube, X, TikTok, Facebook or LinkedIn.
  5. Publish to YouTube. Long-form video is where we find some of our best clients, and it is where we invest most of our own content time.

Once these work, move on to things that run without you, such as AI routines that do a job every day or week, and the AI skills library for ready-made procedures in your industry.

Dubb Agent, ChatGPT and Zapier Agents Compared

Option How setup works Best for Less suited when
Dubb Agent A guided checklist; video, landing pages and CRM come with Dubb Studio, plus 3,000+ integrations and custom ones on request. Sales teams and business owners who want leads, pages, video email and social in one place. Your work is mostly research and writing with no sales workflow behind it.
ChatGPT agent A general assistant with an agent mode and connectors to apps you already have accounts with. Broad research, writing and one-off tasks across the web. You want video, landing pages and CRM included rather than connected one by one.
Zapier Agents Custom AI agents built with Zapier's copilot and connected to the apps in your stack. Teams already automating heavily in Zapier across many apps. You do not already have the tools it connects to, and want them provided.

Whichever you choose, the setup order is the same: context first, connections second, first tasks third. Our post on having too many AI subscriptions covers the tradeoff between connecting many tools and using one platform.

Common Setup Mistakes

Skipping company information. It is the single biggest difference between generic and useful output.

Connecting everything on day one. Connect what you will use this month. Add the rest as you need it.

Treating setup as a project. Thirty minutes, then use it. You improve an agent by working with it, not by configuring it for months.

Forgetting the branding switch. Customizing the branding does nothing until it is turned on.

Letting it send before you have read its drafts. Start with drafts for email, and promote to sending once you trust what it writes.

Proof: Why This Actually Works

Based on anonymized patterns from our daily live trainings and onboarding sessions with new Dubb Agent users over the past few months, two patterns are clear.

The first is that the people who get value fastest are the ones who fill in their company information before anything else. Their first scripts, lead suggestions and landing pages are specific enough to use, so they keep going. People who skip it often conclude the agent is generic, when it simply did not know who they were.

The second is that a working first task beats a perfect setup. Users who send one prospect landing page or one video email in their first session come back. Users who spend the first week configuring tend to stall. Much of the guide exists because we listened to those clients about where they got stuck.

These are directional patterns from training and onboarding sessions, not a controlled study. They describe what tends to happen rather than promise a result.

Frequently Asked Questions

How long does it take to set up an AI agent?

About 30 minutes for the essentials: company information, the main connections such as email, calendar and CRM, branding, team members and a few first tasks. After that, you improve it by using it. Spending months configuring an agent before using it is a common mistake.

What should I connect to my AI agent first?

Start with your company information, then the tools where your work lives: your video and landing page platform, your email, your calendar and your CRM. Add other tools as you need them rather than all at once, since every connection grants the agent access to that account.

Can an AI agent connect to my CRM?

Yes. Dubb Agent connects to more than 3,000 apps. If your CRM is not in the list, open Integrations, choose Custom, then Add new integration, and describe what you want to connect in the chat that opens. The system builds a custom integration for it.

Can I put my own logo and name on my AI agent?

Yes. In Dubb Agent, open the three-dot menu and choose custom branding to add your logo, an AI name, your brand color and a custom header, then turn on the branding switch to apply it.

Can my team use the same AI agent?

Yes. Open the three-dot menu, go to Settings and add team members. There is no additional cost to add team members to your agent account. Dubb Studio plans are priced per user, so check your plan if teammates also need Studio seats.

What is the first thing to do with a new AI agent?

Fill in your company information and industry. That context is what makes everything the agent produces specific to your business, from lead suggestions to scripts and landing pages. Then run one real task, such as building a landing page for a single prospect, so you see results in your first session.

Results, Not a Technology Project

You are in sales or running a business. Your job is not to become a technology developer, and you should not need a year and a dozen subscriptions to get an assistant that does the doing. Add your company information, connect your tools, brand it, invite your team and run your first task, all in about 30 minutes.

We built the guide by listening to our clients about what slowed them down. If you want the full library of setup prompts we call the Dubb guide, comment guide on the video and we will send you the link. Thank you for being the best part about Dubb.
